CALIBRATION SYSTEMS GUIDE

When is a calibration spreadsheet no longer enough?

Compare a flexible register with a controlled workflow for instrument status, results, standards, approvals, certificates and exceptions.

THE SHORT ANSWER

A calibration spreadsheet may suit a small, stable register. Management software becomes valuable when multiple users, reference standards, result evaluation, certificates, approvals and out-of-tolerance workflows must remain connected.

Where a spreadsheet works

A well-designed spreadsheet can track identifiers, locations and due dates for a limited instrument population under one careful owner.

Its flexibility becomes risk when formulas, status rules, versions and supporting files are changed without consistent control.

Signs control is weakening

Look for duplicate copies, manually coloured overdue cells, certificates in separate folders, no reference-standard status, unclear approval and difficulty identifying instruments affected by a failed calibration.

If audit preparation requires assembling evidence manually, the register is no longer acting as a complete system.

Move into a controlled system

Clean identifiers, ownership, active status, interval basis and certificate links before migration. Verify due dates and import useful history without recreating poor data.

Pilot internal and external calibration workflows, permissions, exception handling and exports before retiring the spreadsheet.

COMMON QUESTIONS

Spreadsheet vs calibration management software FAQs

Can Excel manage calibration?

Yes, for a small and simple register with strong manual control, but it does not inherently provide workflow, relational traceability or audit history.

What should calibration software add?

Instrument status, schedules, results, standards, laboratories, certificates, approvals, exception handling and controlled history.

What data should be cleaned before migration?

Instrument identity, location, ranges, tolerances, intervals, last results, next due dates, active status and certificate references.
