Preventive maintenance KPIs should measure control and effectiveness—not reward box-ticking.
Use a balanced set of leading and lagging measures to understand whether scheduled work is timely, valuable and improving asset performance.
Useful PM KPIs combine execution measures such as schedule compliance and overdue backlog with outcome measures such as failures, downtime, useful findings and repeat defects. No single percentage proves maintenance effectiveness.
PM schedule compliance
Schedule compliance is the proportion of scheduled tasks completed within the agreed window. Define the window, exclusions and treatment of approved deferrals before comparing teams or periods.
A high score demonstrates discipline, not effectiveness. Teams can complete ineffective tasks perfectly, so compliance needs outcome measures beside it.
Overdue backlog and age
Count overdue PM tasks and measure their age or estimated labour hours. Segment by asset criticality so a small number of high-consequence tasks is not hidden by a large low-risk workload.
Track why work became overdue—access, labour, parts, shutdown availability or poor planning—to identify the constraint that needs action.
Findings and failure outcomes
Measure useful defects found during PM, corrective work created, repeat failures, emergency work and downtime on maintained assets. Mean time between failures can help where failure definitions and operating exposure are consistent.
Interpret cautiously. More recorded findings may initially indicate better inspection and reporting rather than declining asset condition.
Avoid KPI-driven distortion
Targets change behaviour. If teams are judged only on closure volume, they may defer complex jobs, close incomplete tasks or avoid raising corrective work.
Use a small balanced dashboard, review underlying records and invite technician explanation. Metrics should start a maintenance conversation rather than replace engineering judgement.
- Schedule compliance by criticality
- Overdue work by age and hours
- Planned versus emergency work
- Repeat failure and downtime trends
Preventive maintenance KPIs FAQs
What is a good PM compliance percentage?
There is no universal target. Define an achievable control limit based on risk and due-date tolerance, then investigate the reasons for misses rather than chasing a cosmetic score.
Is MTBF a preventive maintenance KPI?
It can be an outcome measure for repairable assets when failure and operating-time data are consistent, but it should not be interpreted alone.
How many maintenance KPIs should a team track?
Use a small set that supports decisions. Four to eight well-defined measures are often more useful than a large dashboard with weak ownership.
