PRACTICAL PM GUIDE

A preventive maintenance checklist should guide the work—not just prove a box was ticked.

Use this structure to create concise, asset-specific checklists that capture meaningful results and route defects into accountable action.

THE SHORT ANSWER

A useful preventive maintenance checklist covers preparation and safety, condition checks, servicing tasks, measurable acceptance criteria, restoration to service and follow-up for every defect found.

Before starting the task

Confirm the correct asset, work scope, competence, isolation requirements, permits, tools, parts and recent history. Preparation should be proportionate to risk and should not become a generic declaration that is ignored.

Where inspection requirements apply before work begins, make the result visible and define whether an unresolved failure blocks the maintenance task.

Inspection and servicing checks

Group checks in the order the technician encounters them. Use clear actions and measurable responses instead of vague phrases such as ‘check condition’ without explaining what acceptable condition means.

Typical sections cover cleanliness, guards, fasteners, lubrication, leakage, wear, alignment, electrical condition, protective devices, operating performance and abnormal noise or temperature.

Choose response types that create useful evidence

Use pass/fail where the criterion is genuinely binary, numeric readings where trend or limits matter, and comments or photographs where context is important. Avoid demanding evidence that nobody uses.

Every failed check needs a defined outcome: correct during the task, raise corrective work, restrict operation, escalate for review or stop use.

  • Pass/fail against an explicit criterion
  • Readings with unit and acceptable range
  • Comments for exceptions rather than routine prose
  • Evidence when it supports verification or diagnosis

Restoration and close-out

Confirm guards and covers are restored, tools and materials are removed, isolations are controlled and the equipment is returned in an agreed state. Record parts, time, downtime, defects and any follow-up work.

Supervisors should sample checklist quality and review recurring failures. A checklist is a controlled maintenance method and should change when experience shows a better way to perform the task.

COMMON QUESTIONS

Preventive maintenance checklist FAQs

How long should a maintenance checklist be?

Only as long as needed to control the intended task. Remove duplicate and low-value checks; separate different maintenance levels rather than creating one oversized list.

Should every checklist require photographs?

No. Require photographs where they support condition comparison, defect evidence or verification, not as routine administration without a clear use.

What happens when a checklist item fails?

The workflow should define immediate controls and create accountable corrective action, work or review without losing the original finding.
